The Events Coordinator is responsible for planning, coordinating, and executing all signature, third party, and stewardship events to support the fundraising goals of the HDGH Foundation. This role requires a detail-oriented, organized, and creative individual who can manage multiple projects simultaneously and work collaboratively with staff, donors, volunteers, and external vendors.
RESPONSIBILITIES:
· Responsible for event coordination - planning and executing all fundraising events, including galas, charity golf tournaments, etc. as well as donor appreciation events.
· Oversee all event volunteers, working with the Academic and Volunteer Placements department to recruit, train and manage volunteers. This position will assign tasks and responsibilities to volunteers and ensure they are well-supported.
· Collaborate with the Marketing Coordinator to promote events through various channels, including social media, email campaigns, event speeches and print materials. Ensuring the creation of event materials such as invitations, programs, and signage with a lens to ensure all supporters are recognized as set out in the benefits package.
· Work closely with the Major Gifts Advisor to identify and engage potential high end sponsors, ensuring they are acknowledged and appreciated through personalized communications and recognition at events.
· Oversee all sponsorship activity related to fundraising events.
· Seek potential third party events to support the programs and services at HDGH.
· Liaise with third party event organizers to ensure that the Foundation/Hospital is represented well and that the event is in line with our organization's policies, values and image.
· Provide event organizers support to contribute toward the overall success of these events, including communication and promotion.
· Act as a liaison with internal and external constituencies to coordinate all aspects of events and activities
· Assist with all internal and external corporate events that are not fundraising in nature be it holiday celebrations, award ceremonies, appreciation weeks, etc.
· Maintain accurate records of event details, budgets, and outcomes.
· Prepare post-event reports and conduct evaluations to improve future events.
· Manage event-related inquiries and communications.
Education and/or Certification:
QUALIFICATIONS/ CERTIFICATIONS:
· Experience with fundraising and donor relations.
· Knowledge of faith-based community dynamics and sensitivities.
· Creative problem-solving abilities and attention to detail.
· Ability to work with tight event time lines and complete event plans with success.
· Coordinate with vendors, including caterers, decorators, and entertainment.
· Ensure all events align with our corporate values.
· Assign tasks/responsibilities and manage volunteers for events and ensure they are well supported.
· Ensure proper promotion of events through various channels and coordinate the production of event materials.
· Ability to meet the needs of all donor agreements, event benefits and recognition activities.
· Ability to establish and maintain good relationships with donors, staff, and physicians and manage event-related inquiries.
· Clear verbal communication skills when conversing with donors and key stakeholders.
· Ability to identify challenges and seek to address them, with an eye to anticipating potential reputational issues for both the Foundation and the hospital.
· Ensure accuracy in all aspects of work, from donor records to event planning.
· Ability to analyze event data and generate reports.
· Ability to work independently with minimal supervision and as part of a team; a demonstrated ability to maintain donor confidentiality.
· Bachelor’s Degree in relevant field such as event planning, communications, public relations, or non-profit management – required
· Fundraising experience – at least 3 years’ experience required
· Experience managing fundraising or corporate events –3 years’ experience required
